Your document scanning challenges

Central scan folder

First, each employee scans to a temporary shared folder. Then the document is moved to the correct storage destination. Storage locations

Poor image quality

There is no image enhancement of scanned documents. Black borders, perforations or other contaminations such as as well as shifted pages remain as they are. Image enhancements

Limited address book

The address book provided by the multifunction device only allows a limited number of contacts and does not offer incremental search. Multiple address books or synchronization via Active Directory is often not supported at all. Address book

Missing file formats

Most multifunction devices offer the ability to write JPEG, TIFF and PDF file formats. However, different PDF versions, encryption, digital signature or metadata creation is not supported. Individual file formats

Large documents

Missing or bad compression quickly leads to huge document sizes. In addition to increased memory requirements, it is often no longer possible to send an e-mail as an attachment. Compression, e-mail dispatch

Documents disappear

Interference from the MFP or network transmission can cause documents that have already been scanned to disappear. All too often, this error is not noticed until later and causes additional work. Guaranteed scan

Functions

Storage Locations

A storage location is a searchable directory destination where scanned documents can be stored. Default scan settings and file names can be stored for each of these storage destinations. There can be any number of storage locations from the following specifications:

Through the simple development of extension modules, any other ERP, CRM and DMS systems can be integrated on request.

Contacts and address books

Recurring scan targets are stored in the form of contacts. Here, the destination corresponds to either an e-mail address, a fax number or a storage location. Optionally, it is possible to specify an additional secondary target for a contact. Predefinable scan settings and a default file name can be stored for each contact. Contacts can be created manually, imported from a text file or synchronized via a directory service such as Active Directory. Multiple contacts can be combined into a common group. You can scan directly to a contact on the multifunction device.

Context-related collections of contacts and groups are called address books. For example, it is possible to differentiate between an address book for employees and customers. However, it is also possible to add contacts and groups to several different address books. On the multifunction device, it is easy to search for contacts within an address book. Multiple contacts can also be selected as a scan target at the same time. Important contacts of an address book can be defined as favorites.

QR-Code Quickscan

This scanning method is the fastest and easiest way how to scan documents to predefined contacts. For this purpose, special QR codes in the form of separator sheets or adhesive labels must be printed in advance for each contact via the Docuflair Manager. If a document is scanned, the separator sheet must be placed in front of the first page or, in the case of adhesive labels, stuck onto the first page. If an entire batch of documents is to be scanned at once, simply use multiple QR codes. Docuflair will then extract the individual documents at the appropriate points and deliver them to the appropriate contact destinations.

Guaranteed scan

In many fields, it is necessary to ensure that documents have been successfully transmitted to the server 100% of the time. For this requirement, Docuflair offers the option of guaranteed scanning. After a document has been scanned and completely, successfully transmitted, a scan preview is displayed to the user on the multifunction device. If all pages have been transferred and the quality is satisfactory, the document can be released for delivery or, if necessary, discarded. Only then is the scanning process complete.
