Who may scan — and where to
A scanned document leaves the building. That is why authentication comes before it, not after.
Authentication before the scan
Card, PIN, PIN + PUK, two-factor, smartphone QR or single sign-on via OpenID Connect — 17 combinations in total. Personal scan destinations only appear after login.
Scanning can be enabled separately
The scan function can be released independently of copy, fax and print — and separately for authenticated and unauthenticated use. An open device in the corridor can copy, but not scan.
Only your own destinations
After login the device address book shows the destinations the user is entitled to, taken from the directory service. Other people's folders and mailboxes never appear.
A traceable scan path
Who scanned what, when and to where is logged. That answers the question a data protection officer asks first — and which scan-to-email without authentication leaves open.

How does direct scanning work?
With Docuflair Scan, you transfer documents directly from the scanner to your desired destination. You can browse directories at the device or select predefined contacts from the address book - without additional steps at the computer.
Which storage locations are supported?
Docuflair Scan supports local drives, network shares, cloud services like OneDrive, SharePoint, NextCloud, Amazon S3, FTP servers and many more storage locations. You can create shortcuts to frequently used directories directly at the multifunction device.
How does QR code batch processing work?
Generate QR codes for your scan destinations and add them at the beginning of your documents. During batch scanning, the software automatically recognises the QR codes, separates the documents accordingly and assigns them to the stored destinations.
What is scan preview?
After scanning, you receive a preview of the scanned documents directly at the multifunction device. You can check quality and completeness before transferring the documents to the desired destination through manual approval.
Can address books be synchronised?
Yes, you can synchronise contacts via LDAP or create your own address books for colleagues and customers. You can collect, group and set scan destinations (email, fax, storage location) as favourites in address books.
What image enhancements are performed automatically?
The software offers configurable blank page detection and comprehensive automated image enhancements. Advanced compression methods ensure smaller file sizes while maintaining high quality.
Which scanners and multifunction devices are supported?
Docuflair Scan is compatible with over 364 multifunction devices and scanners (per Docuflair compatibility list, as of April 2026) from manufacturers such as Epson, Canon, Kyocera, Lexmark, Ricoh, Konica Minolta and many others. The software supports both network scanners and directly connected devices. A complete list of compatible devices can be found on our hardware page.
How secure is data transfer during scanning?
Docuflair encrypts all communication using secure protocols (TLS/SSL). Scans stay on-premises – your data never leaves your company network unless you explicitly configure cloud destinations. Multi-stage approval processes provide additional control over sensitive documents.
Can I create custom scan workflows?
Yes, you can create individual scan profiles with predefined settings: resolution, colour mode, file format, compression, target directory and naming rules. You can assign these profiles to users or user groups so that each employee accesses their optimised settings with one click.
How does multi-stage scan approval work?
With multi-stage approval enabled, each scanned document goes through a review process. After scanning, a preview appears at the device for quality control. The document can then be forwarded to an approval workflow where a supervisor or defined role approves the final transfer - ideal for sensitive documents in regulated industries.

Free choice of server platform
Windows Server 2019, 2022 and 2025, or Linux — tested on Debian 12 and Ubuntu 22.04 LTS and newer. Further distributions on request. Switching platform later is possible without losing configuration or document repository.
No IIS, no Apache
The web server is part of the application (.NET 10). There is no additional server role to install, harden and patch — which shortens deployment and reduces the attack surface.
Workstations of every kind
The client applications run on Windows, Linux and macOS, the mobile app on iOS and Android. Administration and self-service run in the browser — with no local installation at all.
Virtualised or containerised
Operation on Hyper-V, VMware, Proxmox VE and Citrix, as well as in Docker or Podman containers and in LXC. On Linux each instance runs as its own systemd service.
