Print Management on HP: Pull Print, Follow-Me & Cost Accounting
Docuflair Print for HP MFPs
Docuflair Print integrates HP printers via the universal IP queue. Pull-print, follow-me printing, BYOD and cost accounting work fully; ideal for mixed fleets that include HP devices. On-premises or dedicated private cloud — never public cloud.
Universal Integration: HP Printers via IP Queue
Docuflair does not provide a native embedded app for HP — instead, the Docuflair spool server is integrated as the central print server. Pull-print, follow-me and cost accounting work fully; release at the device is via card reader or web release station.
Docuflair as print server
Print jobs from Windows, Mac, Linux and mobile land on the Docuflair spool and are stored TLS-encrypted. After release, Docuflair sends them to the device in HP's native printer language (PCL5/6, PostScript, PDF).
Release via card reader or PIN
External card readers (RFID/NFC) can be retrofitted to HP MFPs and are controllable by Docuflair. Alternatively, a web release portal on smartphone or laptop works.
Full cost accounting
All printed pages are captured centrally by the Docuflair server — user, department, cost centre, colour/B&W, duplex, paper size. Reports and SAP/DATEV export as with native integrations.
Ideal for mixed fleets
If you run HP printers alongside natively-supported devices (Sharp, Xerox, Kyocera, Canon), Docuflair integrates both uniformly. No authentication switch, no separate quota systems.
Docuflair Print vs. HP JetAdvantage Security Manager / HP Universal Print
When does Docuflair make sense instead of the HP-native print-management solution?
HP Universal Print is HP's cloud-print solution and builds on Microsoft Universal Print infrastructure. Docuflair integrates HP printers on-premises via IP queue — without cloud requirement and with full pull-print/cost accounting.
Decision criteria
- Homogeneous fleet (HP only): HP JetAdvantage Security Manager / HP Universal Print may suffice if you have no other document-related needs (scan, archive, compliance) and don't plan to add devices from other vendors.
- Mixed fleet or expansion planned: Docuflair is vendor-neutral — integrate HP today and add Sharp, Xerox or HP tomorrow without a second system.
- Compliance requirements (GDPR, BSI): Docuflair is on-premises / private cloud (never public cloud) and has BSI references in government projects. Vendor-native solutions increasingly push towards cloud.
- Integration with Scan/Archive/Redact: If you also use Docuflair Scan, Archive or Redact, vendor print modules are duplicate point solutions — one contract, one training, one audit trail is more efficient with Docuflair.
Print-Management Capabilities on HP
Which features are concretely available on HP MFPs with Docuflair?
Pull-print & secure release
Jobs land in a central spool and are only released after authentication at the HP device. No unattended printouts.
Follow-me printing
Retrieve jobs at any supported printer, even if the fleet mixes HP with other vendors. Unified authentication experience across all devices.
BYOD printing
Employees and guests print from smartphones, tablets or personal laptops to HP devices — via email-print, web upload or mobile app. No driver required.
Cost accounting
Every page printed on a HP device is captured with user, department and cost centre. SAP, DATEV and ERP export included.
GDPR compliance
TLS-encrypted transmission, encrypted spool, role-based permissions. On-premises or private cloud — never public cloud. Audit trail per GDPR Art. 32.
Sustainability policies
Enforce duplex as default on all HP devices, gate colour via policy, auto-delete unclaimed jobs. Typically 20-30% paper reduction.
Frequently Asked Questions
Answers about Docuflair Print on HP MFPs.
How does Docuflair Print integrate HP MFPs?
HP printers are integrated via the universal IP queue. Docuflair acts as a print server, receiving print jobs centrally and forwarding them to the device after authentication. Pull-print, follow-me and cost accounting work fully.
Do I need a separate print-management solution in addition to HP JetAdvantage Security Manager / HP Universal Print?
HP Universal Print is HP's cloud-print solution and builds on Microsoft Universal Print infrastructure. Docuflair integrates HP printers on-premises via IP queue — without cloud requirement and with full pull-print/cost accounting.
Does Docuflair Print also work in mixed fleets with other vendors?
Yes. Docuflair is vendor-neutral and supports Sharp, Xerox, Kyocera, Canon, Ricoh, Konica Minolta natively (embedded app) plus HP, Lexmark, Toshiba, Brother and OKI via universal IP queue. You get a unified authentication, quota and reporting system across all devices — regardless of vendor.
Where is print data stored?
Exclusively on-premises or in a dedicated private cloud environment — never in a shared public cloud. Print jobs are transferred TLS-encrypted to the Docuflair spool server and stored encrypted there. No print data leaves your network or your private cloud instance.
How is release at the HP device implemented?
For HP MFPs, Docuflair offers three release paths: (1) external card reader at the device (RFID/NFC), controlled by the Docuflair server, (2) web release portal on smartphone or laptop, (3) mobile app with QR code release. The choice depends on the HP generation and the access authorisations in place.
