The problem with cloud print services

Many print-management vendors have pivoted to cloud-first in recent years: print jobs travel through servers in the US, Singapore or Ireland. That's often fine for regular office printing — but not for citizen data in public agencies, client files in law firms, patient records in clinics or candidate documents in HR. These fall under Art. 44 ff. GDPR (third-country transfer) and require legal safeguards that are often missing.

How Docuflair Print solves it

  • On-premises or private cloud — never public cloud: Spool server, print queue, authentication and audit trail run either fully inside your own data centre or in a dedicated private cloud environment operated exclusively for you. Shared public cloud infrastructure is architecturally excluded.
  • Encrypted transmission: Print jobs are transferred TLS-encrypted from endpoint to spool server. They stay encrypted in the spool and are decrypted only on release.
  • Complete audit trail: Every print, release, abort and purge action is logged with user, timestamp, document hash and target device. GDPR Art. 32 (integrity) is technically implemented.
  • Role-based permissions: Which users may print which document classes, which printers are released for which departments — all policy-driven.
  • Right to erasure (Art. 17): Unreleased print jobs are automatically purged after a configurable period (e.g. 24 h) — with audit entry.
  • Card reader integration: Release at the MFP via employee badge, campus card or service ID. No shared passwords at printers, no photographable PINs.

What's the difference between pull-print and follow-me printing?

Pull-print (also called "secure print") means: the print job lands in a central spool and is only released after authentication at the printer — regardless of which one. Follow-me printing is the evolution: the job follows the user, who logs in at any device on the network and prints there. In practice, Docuflair combines both concepts — the distinction is largely marketing. Technically, follow-me is a pull-print implementation with network-wide spool querying.

How is Docuflair Print different from PaperCut, MyQ or uniFlow?

The three classic print-management vendors are pure-play: they only do print. Docuflair Print is part of an integrated Docuflair suite with scanning, archiving, redaction and workflow on the same platform. Organisations with document needs beyond print save on a second point solution. Other differences: Docuflair is 100% on-premises or private cloud (PaperCut/MyQ/uniFlow push public cloud), vendor-neutral (uniFlow is Canon-optimised) and DACH-based with German-language support. Yes. Employees, guests and external partners print from their personal smartphones, tablets or laptops — without driver installation and without access to the internal AD. Three paths: email-print (PIN response), web upload via an internal portal, and mobile app (iOS/Android). All paths go through the same pull-print logic — only authenticated users retrieve jobs.

Can I allocate print costs to cost centres and export to SAP or DATEV?

Yes. Every printed page is captured by user, department and cost centre. Docuflair generates automated monthly reports as CSV, Excel or PDF and exports them to SAP-CO, DATEV and other accounting/ERP systems. Budgets per cost centre are configurable — the system warns or blocks automatically on overrun. Ideal for cause-based chargebacks in corporations, law firms and universities.

Is Docuflair Print GDPR-compliant — even for HR, patient or client files?

Yes, because Docuflair Print runs exclusively on-premises or in a dedicated private cloud environment — never in a shared public cloud. Print jobs are transferred TLS-encrypted to the spool server and stored encrypted. Every action (send, release, abort, purge) is logged with user, timestamp and document hash in the audit trail (GDPR Art. 32). Unreleased jobs are automatically purged after a configurable period (Art. 17). Card reader integration at the MFP prevents sensitive documents from sitting unattended.

Does Docuflair Print work on non-Docuflair-certified printers (HP, Lexmark, Brother …)?

Yes. Docuflair supports two integration types: Native (Embedded App) for Sharp (OSA), Xerox (EIP), Kyocera (HyPAS), Canon (MEAP), Ricoh (SOP), Konica Minolta (OpenAPI) — the Docuflair UI runs directly on the MFP touchscreen. Universal (IP queue) for HP, Lexmark, Toshiba, Brother, OKI — here Docuflair acts as print server, pull-print and cost accounting work fully, authentication is via card reader or web release station. Mixed fleets can be managed from a single system.
